Cancelled or delayed flight — how to claim your compensation

Flight cancelled, or did you land more than three hours late? You may be entitled to €250–600 per person under EU Regulation 261/2004 — on top of rebooking or a ticket refund. Airlines rarely pay unprompted; you have to claim. Here's how.

When does EU 261 apply?

How much you can get

Flight distanceCompensation per person
Up to 1,500 km€250
1,500–3,500 km (and longer intra-EU)€400
Over 3,500 km (outside the EU)€600

In addition, regardless of compensation: during longer waits you're entitled to meals, drinks and if needed a hotel at the airline's expense — keep receipts if you had to arrange it yourself. For cancellations, the choice between rebooking or a full refund is yours.

The exception airlines love: "extraordinary circumstances"

No compensation is due for circumstances beyond the airline's control — extreme weather, ash clouds, air-traffic-control strikes, security risks. But airlines stretch the exception far past its limits. Courts have ruled that technical faults, staff shortages and strikes by the airline's own staff are normally NOT extraordinary. Don't let a boilerplate "operational reasons" reply be the last word.

Step by step

  1. Gather the paper trail: booking reference, tickets, the cancellation/delay emails, and ideally the actual arrival time (a flight-tracker screenshot works). Receipts for meals/hotel.
  2. Send the claim to the airline — template below. Many airlines have forms; email works too and leaves a trail.
  3. On refusal or silence (30 days): take it to the national dispute board — in Sweden ARN (arn.se, free) if the airline operates here, otherwise the equivalent body in the airline's country — we'll help you find the right one.
